Terms of Hire – Unitly

These Terms of Hire (“Terms”) apply to all bookings made for Unitly (“the Space”). By submitting a booking request, making payment, or accessing the Space, the hirer (“you”, “Customer”) agrees to these Terms.

1. Bookings & Acceptance

  • 1.1 All bookings are subject to availability and written confirmation.
  • 1.2 A booking is not confirmed until you receive confirmation by email and any required payment has been received.
  • 1.3 We may decline a booking request at our discretion (for example, where proposed use is unsuitable, unsafe, or conflicts with other bookings).

2. Hire Period & Access

  • 2.1 The hire period begins and ends at the times confirmed in writing.
  • 2.2 Set-up and pack-down must take place within your hire period unless agreed in writing.
  • 2.3 Access outside the confirmed hire period may result in additional charges.

3. Pricing & Market Day Rates

  • 3.1 Prices are shown on our website and may vary depending on demand and market days.
  • 3.2 Market days may be priced higher due to increased footfall and local trading demand.
  • 3.3 Where applicable, weekly and monthly bookings may include market-day pricing uplifts as shown in the Pricing section of the website.

4. Payments

  • 4.1 Payment terms will be confirmed by invoice or email.
  • 4.2 Unless agreed otherwise, payment must be made in full before access is granted.
  • 4.3 Late payment may result in cancellation and/or refusal of access.

5. Business Rates, Electricity & Other Charges

  • 5.1 Business rates are included for daily, weekly, and monthly bookings unless stated otherwise.
  • 5.2 For annual or longer-term agreements, business rates are typically payable by the occupier unless agreed otherwise in writing.
  • 5.3 Electricity may be billed separately (for example, via a sub-meter) where applicable.
  • 5.4 You remain responsible for any other operational costs connected to your use of the Space.

6. Permitted Use

  • 6.1 The Space must only be used for the purpose agreed in your booking confirmation.
  • 6.2 You must not use the Space for illegal, unsafe, disruptive, or nuisance activities.
  • 6.3 The following are not permitted without written permission:
    • Hot food cooking/frying
    • Alcohol sales
    • Loud amplified music
    • Any activity requiring a premises licence or special consent
    • Storage or use of hazardous substances
    • Anything that may invalidate insurance or create safety risk

7. Your Legal Compliance & Licences

  • 7.1 You are responsible for ensuring your activities comply with all applicable laws and regulations.
  • 7.2 You are responsible for obtaining any licences, permissions, or approvals required for your business (including local authority requirements, trading standards compliance, food hygiene compliance, etc.).

8. Care of the Space

  • 8.1 You must keep the Space clean, tidy, and in good condition during your hire period.
  • 8.2 You must not damage floors, walls, ceilings, fixtures, or fittings.
  • 8.3 You must not drill, screw, paint, or make permanent alterations without written consent.
  • 8.4 Any damage caused during your booking must be paid for by you.

9. Equipment, Stock & Deliveries

  • 9.1 Any equipment you bring must be safe, suitable, and compliant (including PAT testing where appropriate).
  • 9.2 You are responsible for your stock, equipment, and belongings at all times.
  • 9.3 We are not responsible for loss, theft, or damage to items left in the Space.

10. Security & Access Control

  • 10.1 You must keep the Space secure at all times while in use, including locking doors when unattended.
  • 10.2 Keys/access details must not be copied, shared, or distributed without permission.
  • 10.3 You are responsible for ensuring your staff and visitors behave safely and respectfully.

11. Health & Safety

  • 11.1 You must operate your business safely and comply with all health and safety requirements.
  • 11.2 Fire exits must be kept clear at all times.
  • 11.3 You must not block walkways, entrances, exits, or emergency access routes.
  • 11.4 Any hazards or incidents must be reported to us immediately.

12. Liability & Insurance

  • 12.1 You are responsible for your own public liability insurance unless otherwise agreed in writing.
  • 12.2 We are not liable for any loss, injury, damage, or costs arising from your use of the Space, except where caused by our negligence.
  • 12.3 You agree to indemnify us against any claims arising from your activities, your staff, contractors, customers, or visitors.

13. Cancellations & Refunds

  • 13.1 All cancellations and refunds are handled in accordance with our Refund & Cancellation Policy.
  • 13.2 Key refund rules:
    • More than 14 days before start: Full refund minus £50 admin fee
    • 7-14 days before start: 50% refund minus £50 admin fee
    • Less than 7 days: Non-refundable
  • 13.3 If we cancel due to unforeseen circumstances (e.g. safety), we will refund any unused time paid.

14. Signage, Branding & Marketing

  • 14.1 Temporary signage may be permitted subject to approval.
  • 14.2 No permanent signs or alterations are allowed without written consent.
  • 14.3 We may photograph the Space for marketing. If you do not want your setup featured, you must request this in writing before your booking.

15. Complaints & Disputes

  • 15.1 Any concerns should be raised as soon as possible during your hire period so we can resolve them quickly.
  • 15.2 We aim to deal with complaints fairly and promptly.

16. Governing Law

These Terms are governed by the laws of England and Wales, and disputes will be subject to the courts of England and Wales.
